Executive Director of FINANCE and HUMAN RESOURCES
Exempt, full-time position. Benefits including health, dental and disability insurance are pro-rated. Retirement fund contribution after one year.

The Organization:
We are a values-driven organization with a dynamic, multicultural work environment. Close to The Gathering Place, we are also a gathering place for people who want to build multi-cultural, multi-religious, multi-generational community. The organization is in a capital campaign with plans to redesign and renovate existing building and grounds. We are celebrating our 100th birthday the same year that Tulsa will be recognizing the 100th anniversary of the Tulsa Race Massacre. Our histories and our legacies are intertwined. Position Summary:
Manages the finances of the church including payroll, monthly statements, reconciling of all church accounts and bi-annual audits. Manages the HR needs for staff. Risk management.

Position is full-time. Benefits including health, dental and disability insurance are pro-rated. Retirement fund contribution after one year.

General Employee Requirements
This role is expected to meet quality work standards, work in conformity with all church policies, guiding principles and standard procedures, and to work within the scope of the law.

Must maintain strict confidentiality with church and congregational information and materials.

Strong interpersonal communication skills, ability to work as a team and demonstrated positive human relations skills. Must have the ability to work effectively with others and to follow directions of supervisor.

Must be fully familiar with and have the ability to comply with all safety requirements of respective position such as knowledge of safety rules and policy and evacuation procedure.

Primary Responsibilities:

  • Oversee and execute all functions of the Finance Department
  • Supervises Finance Department and Administrative staff

Finance Functions Include:

  • Efficiently reconciles the bank statements for each of the church accounts.
  • Analyzes the monthly financial results and prepares written summaries of key information for use by the Board of Trustees, staff and other church groups.
  • Meets with the Executive and Senior Ministers to prepare explanations of financial reports.
  • Processes weekly Accounts Payable and Contribution Reports.
  • Assists in the preparation of the church’s preliminary annual budget and financial forecasts which are given to the Executive Director of Stewardship and Executive Minister for final development.
  • Tracks expenses and income, prepares financial statements and other reports
  • Provides the church’s CPA with the needed documents in a timely manner to complete audits.

Human Resources Functions Include:

  • Processes payroll effectively and accurately.
  • Prepares and maintains all needed human resource documentation for each staff member. Manages staff hiring, onboarding, and exits.
  • Administers the employee benefit program which comprises of: health, dental, retirement, and other benefit plans.

Secondary Responsibilities

  • Staff liaison to the Audit Committee, ConservAge, Finance, Insurance and Investment Committees.
  • Provides information and support to assist the staff and takes part in the church’s fundraising efforts.
  • Leads the Administrative and Bookkeeping staff in documenting processes and procedures clearly, and maintaining up-to-date books of same.
  • Supports the functions of the Executive Director of Stewardship.
  • Take personal responsibility for providing internal and external customers with the most cost efficient, prompt, and highest quality services possible.
  • Takes personal responsibility for seeking continuous improvement in departmental and ASUC work efforts.
  • Takes responsibility for continuous learning; attend appropriate training, education, and apply new and improved job skills.
  • Holds regular office hours.

Skills Needed:

  • Understanding of fiscal management and principals of accounting
  • Ability to analyze complex reports and statistical data
  • Thorough knowledge of federal and state regulations, policies and procedures which apply to accounting and finance in a non-profit
  • Strong budget preparation skills
  • Good organizational skills and ability to prioritize work
  • Strong oral communications and human relations skill
  • Ability to work under pressure and meet deadlines
  • Keep records of all revenue/expenditures by correct groupings
  • Prepare financial statements monthly, in a timely manner and present the information to the board
  • Monitor all financial accounts and credit cards
  • Maintains payroll information in an accurate manner and coordinates with the payroll provider timely
  • Ensures that effective internal controls are in place and ensure compliance with GAAP and applicable laws and regulations
  • Participate in key decisions as a member of the senior management team
  • Find ways to improve efficiency and increase revenue
  • Coordinate audit activities in a timely manner
  • Strong computer skills
  • Knowledge of ACST (church management & finance software) a plus

Duties:
Regularly attends all staff meetings and meetings called by direct supervisor. Consults with supervisor about attendance at other meetings.

Maintains a friendly "Service" oriented philosophy with co-workers, other departments and parishioners.

Performs all other duties as assigned.

Performs all of the above duties with discretion and respect for confidentiality at all times.

General Job Requirements:

  • Bachelor’s degree in Business, Account, Finance or related field from an accredited institution
  • A minimum of three years experience in general accounting required
  • A minimum of one year Human Resources experience required
  • Management experience required
  • Excellent human relations and communication skills
  • Extremely strong interpersonal skills
  • Demonstrates effective verbal and written communication skills
  • Working knowledge of Microsoft Office: Word, Excel, PowerPoint and Outlook
  • Valid Driver’s License and minimum liability insurance on personal vehicle as required by law
  • Ability and willingness to work flexible hours and extra time on an as-needed basis

Physical Job Requirements:

  • Must be able to work both in an office environment, sitting, at a computer, as well as spend time going through the building, bending, squatting, and climbing, while supervising personnel, greeting parishioners, children and guests, setting up classrooms. Some parts of the building are not handicapped accessible. Must be able to lift cartons of paper and small office equipment as needed – up to 40 pounds.
  • Corrected levels of vision and hearing are essential, so that problems or emergencies can be detected quickly, and the information conveyed to departmental employees and volunteers.

Work Environment Job Requirements:

  • Normal workday would include working approximately 90-100% of the time in a climate-controlled building. The remainder of the workday may include working in church storage buildings that are not climate controlled. The natural elements, such as pollen (natural evergreens are used at Christmastime), high or low humidity, and dust are present.
  • The normal workweek is Monday through Friday for a 40-hour workweek. This may flex according to the service schedule and the needs of the congregation. This job is multifaceted and often requires work under time constraints.

Work Hours:
As assigned, generally Monday through Friday 8:00 a.m. to 5:00; flexible schedule as needed to support programming.

Supervises:
Bookkeeper, Facilities & Grounds Manager, Admin Staff, IT

Works With:
Ministers, Program and Administrative Staff, members and the public.

40 hours/week; $60,000/annual
