Position Description:

The Executive Director assumes responsibility for the management of all human and financial resources needed to achieve the orchestra’s missions. The Executive Director is accountable for all aspects of the organization and for implementing policies set by the Board of Directors. To that end, the Executive Director is responsible for building the capacity of the Bartlesville Symphony Orchestra by overseeing a comprehensive year-round fundraising program. The Director plans, implements, manages, and evaluates all fundraising activities related to maintaining and growing earned income to ensure the financial stability of the Bartlesville Symphony. This person also represents the BSO in the community by attending meetings and networking with community organizations that can impact the Bartlesville Symphony and being an advocate for decision-making that will benefit our organization.

  • Fund Development (in conjunction with the Fund Development Committee)
    • Manage all fundraising initiatives to achieve annually budgeted goals. Efforts include annual fund, corporate sponsorship, foundation and government grants, special events, in-kind donations, and special projects.
    • Maintain ongoing relationships with current donors, sponsors, funders, and business and community leaders. Develop new prospects in each category. Provide information from donor lists on potential members of the Board to the Governance/Nominating Committee.
    • Maintain donor files and records and timely donor communications.
    • Complete grant applications and sponsorship proposals, acknowledgement of gifts, and tendering of required reports and follow-up including educationally oriented grant requested.
    • Research new opportunities for arts funding at the local, state, and national levels.
    • Work closely with the Development Committee to continuously research, cultivate, and solicit new sources of revenue.
  • Concert Program Logistics (in conjunction with Volunteer and Concert Logistics committees)
    • Coordinate guest artist staging requirements as listed in contract riders, provide amenities.
    • Coordinate travel and accommodation arrangements for guest artists.
    • Coordinate sound and video needs for rehearsals and concerts.
    • Coordinate volunteer support of concert logistics.
    • Coordinate ticketing activities.
  • Education Logistics (in conjunction with the Education Committee)
    • Coordinate educational activities of the Bartlesville Symphony.
    • Assist with the BSO sponsored annual Carnegie Link-up concert and the Young Artist Competition
  • Marketing Logistics (in conjunction with the Marketing Committee)
    • Coordinate marketing activities, including the development of graphics, ad designs, ad messages, news articles, social media, and contracts with ad service providers.
    • Plan and execute pre-concert marketing to include community calendars, magazine and newspaper press releases, radio interviews, cable tv “crawler”, poster distribution, public announcements at organizational meetings and all other relevant media.
  • Social Fundraising (in conjunction with the Social Fundraising Subcommittee)
    • Work with the Board and volunteers to plan fundraising events and benefits and oversee the execution of each event
  • Finance Logistics (in conjunction with the Finance Committee)
    • Assist the Board of Directors in establishing annual and long-range goals, budgets, projections, and plans for all fundraising campaigns and initiatives.
  • Administrative
    • General Office Duties as needed
    • Plan annual season subscription campaign
    • Represent the Bartlesville Symphony by attending civic and cultural events in the community and making presentations as requested.
    • Help recruit committee members for various efforts and special events.
    • Be primary point of contact with the Governance/Nominating Committee
    • Be primary point of contact with the IT Committee
    • Board support and assistance as needed.
    • Some nights and weekends may be required from time to time
