The Executive Assistant reports to the Executive Director and is responsible for providing personal administrative support and assistance to the Executive Director, Club Leadership, and Club Members.
The Executive Assistant works closely with the Board of Directors, Club President, President Elect, the Foundation Trustees, Committee Chairs, Rotary District 6110 and Rotary International.
The position requires a minimum of three years of experience in an executive administrative position. Candidate must have excellent organizational and interpersonal skills and working knowledge of Microsoft Word and Excel. QuickBooks experience helpful, but not required.
Take phone calls and perform office duties that include ordering supplies, name badges, etc.
Open, sort and distribute incoming faxes, emails, and other correspondence
Prepare attendance reports for District 6110 & Rotary International
Manage Membership database (DACdb)
Publish weekly e-newsletter
Process New Member Applications
Plan and coordinate the weekly club meeting agenda, prepare materials for meetings
Assist the Executive Director in the preparation of meeting agendas and materials for all Board Meetings
Attend weekly Club meeting and assist the Executive Director as needed
Other duties as directed by the Executive Director
Applicable college curriculum/degree from an accredited College or University
Three plus years of relevant work experience with membership-based organizations, corporate executive assistant, or other organizations that are member oriented
Proficient in the use of Microsoft Office Suite and Google Docs
Proficient in the use of Social Media and Website management
Preferred knowledge of GiftWorks Donor Management Software
