Grants Associate Summary:
The Grants Associate will report to the Grants Manager to support the administration and management of a portfolio of approximately $65 million in direct grants each year. The Associate will serve as an integral staff member working across the Equal Opportunity, Vibrant and Inclusive Tulsa and B.E.S.T. Teams and will support the Grants Manager in a range of functions related to daily tracking and execution of grants and project-based support related to grants administration to improve utilization and maintenance of the grants management system.
The Grants Associate will be responsible for daily internal and external communications related to the foundation’s grantmaking, and requires a high degree of attention to detail, organizational skills and active listening ability to respond to a wide array of requests. The ideal candidate will have strong analytical and critical thinking skills, be adaptive, self-directed and highly responsive in a fast-paced environment, with a deep commitment to the foundation’s mission and work.

Position Qualifications:

Education and Experience
Bachelor’s degree and three years of experience or equivalent experience required.

High level of proficiency in Microsoft Outlook, Word, Excel, Power Point
Experience with Blackbaud Grantmaking/GIFTs Online, or other grants/database software

Skills and Abilities
Service minded, strong desire to work with programs and community partners to provide responsive, respectful customer service
Able to be detail orientated including strong organizational skills, proofreading and editing
Excellent interpersonal and relationship-building skills and sound judgment, with an emphasis on:

Be available to travel to conferences and trainings as needed

Physical Requirements
The ability to sit in front of a computer monitor for multiple hours at a time

Experience in the philanthropic or nonprofit sector
Familiarity with donor and/or grantee reporting
Knowledge of Tulsa’s non-profit community

Position Requirements:

Essential Functions:
Intake and review of grantee applications, including database entry, coordination with Program Officers and follow up with grantees to obtain missing or corrected information
Conduct grantee due diligence checks to verify nonprofit status and conduct organizational research as needed
Format and edit grant summaries and details for internal and external reporting
Generate grant award documents according to program team or project specifics
Ensure timely submission and approval of grantee reports by tracking and monitoring the status of reports, applications, sending reminders to grantees, and coordination of approvals
Ensure integrity of information and materials in grants database following approval
Actively work to enhance grants management processes and increase efficiencies, working collaboratively across the foundation to advance its work
Assist with production of grants-related materials for quarterly meetings
Assist with routine and high volume grants payment processing
Disseminate grants management knowledge and expertise to assist all foundation staff to achieve their goals
Maintain key related documentation of grants contracts, MOUs and other relevant agreements related to grant awards or activities
Undertake special projects related to grants research, reporting or project management as assigned by Grants Manager and/or Program Team Captains
Be consistently and reliably present to coordinate with operations and program staff as well as attend staff meeting and conduct trainings
Will maintain filing and recordkeeping
Conducts all activities in alignment with principals and integrity of the George Kaiser Family Foundation
Be able to maintain confidentiality and discretion in financial and community matters
Other duties as assigned
